Saving a workbook to a particular folder, using a particular file name.

  • Start the Excel program.

  • Open a workbook called Sales this year.  You will see a worksheet displaying the following information.


  • We will now save this workbook in a different folder and also save the workbook using a different file name. 

    NOTE: It is important to remember that if you simply click on the Save button, which is displayed within the Excel toolbar, if you had made any changes to the data, the workbook will be saved using the same file name and in the same folder, thus over righting the original data.


  • In order to be able to specify a new file name and a new storage location you need to click on the File drop down menu and select the Save As command. 



    This will display the Save As dialog box.



    NOTE: In the example illustrated, the contents of the L1 Spreadsheets folder is displayed.  If you see the contents of the My Documents folder displayed, you will need to double click on the L1 Spreadsheets folder to display the contents of the L1 Spreadsheets folder.

  • In this case we want to save the workbook in a sub-folder called Sales Figures.  First select the Sales Figures folder and then double click on that folder to change to the Sales Figures folder.

  • We also want to change the file name.  Click within the File name section of the dialog box to name the file.  In this case use the file name, Sales Last Year.

  • Click on the Save button to save the file to disk.

  • Press Alt+F4 to close the Excel program.
